1. About this Schedule

This is the Product Schedule for Online Enrolments under clause 3 of RTEO's Terms of Service ("the Terms"). It applies when your order includes Online Enrolments, and it forms part of your agreement with RTEO together with the Terms, the Data Processing Agreement and the Acceptable Use Policy. Words defined in the Terms have the same meaning here, and clause 3.3 of the Terms says which document prevails if they conflict.

2. What Online Enrolments includes

Online Enrolments is a self-serve subscription for publishing online enrolment forms for your courses and sending each completed enrolment to your student management system (for example, aXcelerate). It includes:

  • setting up your workspace and building and configuring your enrolment forms yourself, at no charge;
  • hosting the forms, so you can link to them or place them on your website;
  • the connection between the forms and your student management system; and
  • the same core features on every plan.

The features available at any time are those shown in the application, and clause 5.3 of the Terms applies to changes to them.

3. Plans and fees

3.1 How the fees work. The fees for Online Enrolments are those in the pricing RTEO publishes, or in your order, and are made up of:

  • a monthly plan fee, which depends on the monthly enrolment allowance you choose;
  • a fee for each enrolment above your monthly allowance; and
  • the assisted onboarding fee in clause 3.2, only if you order assisted onboarding.

Prices are in Australian dollars. Clause 11 of the Terms applies to them, including that they are exclusive of GST.

3.2 Onboarding. There is no setup fee. You onboard yourself, setting up your workspace and forms in the application, at no charge. If you would like RTEO to onboard you instead, assisted onboarding costs $1,800 plus GST. It is charged when you order it and is not refundable once paid, except where the law requires a refund.

3.3 How and when you pay. Fees are charged automatically, by direct debit, under clause 11.1 of the Terms. The monthly plan fee is charged monthly in advance, from sign-up or from the later date your plan states. For the published plans, monthly billing starts when your online enrolments are published. Enrolments above your allowance are charged in arrears, after the month in which they happen. Clauses 11.2 and 11.3 of the Terms apply to a failed or overdue payment, and a suspension under clause 11.3 can include your forms.

3.4 Your allowance. Your monthly allowance is shared across all the online enrolment channels in your workspace. An enrolment counts towards it when it is created in your student management system, or recorded in RTEO Connected as a successful enrolment, which is usually shown by an invoice being raised, a payment being taken, or a tentative enrolment status. Each learner's enrolment counts once: a failed attempt does not count, a retry does not count again, and a group or bulk booking counts each learner enrolled.

3.5 Enrolments above your allowance. Each enrolment above your monthly allowance is charged at the per-enrolment rate in the published pricing or your order.

3.6 Text-message verification. Sending verification codes by text message (SMS) is optional. It is charged separately, only if you enable it, at the rate RTEO tells you before you enable it.

4. Your responsibilities

4.1 Your student management system. You hold your own account with your student management system, and your use of it remains subject to your agreement with its provider (clause 7 of the Terms), including any fees that provider charges you. You are responsible for giving RTEO the access the connection needs, keeping that access valid, and updating it when it changes. If your access stops working, or your provider changes or withdraws it, enrolments may not reach your student management system until the connection is restored.

4.2 Your forms and what they say. You are responsible for the content of your forms and for checking that a form works as you expect before you publish it. That includes course names, dates, fees, entry requirements, questions, the terms you ask students to accept, and anything a form shows from your student management system.

4.3 Your obligations as a training provider. You remain responsible for your enrolment and admission decisions, for the information you must give students before they enrol, for the student information you must collect and keep, and for your other obligations as a Registered Training Organisation or other education provider. Online Enrolments helps you meet those obligations; it does not meet them for you, and clause 8.4 of the Terms applies.

4.4 Payments from students. Where a form takes payment from a student, the payment is made to the payment account or student management system you connect, and it is between you and the student. Receipts, refunds, and disputes with students are yours to handle.

5. Support for Online Enrolments

You can reach support by phoning 1800 MYRTEO (1800 697 836) or emailing support@rteo.com.au, and, when it becomes available in your account, through its support area (clause 12.1 of the Terms). Support covers the Online Enrolments product: setting up and running your forms, the connection to your student management system, and your plan and billing. It does not cover your student management system itself, your website, or your own enrolment and compliance decisions. Where an issue sits with your student management system, RTEO will tell you so that you can raise it with that provider.

6. Term, renewal and cancellation

6.1 Monthly subscription. Online Enrolments is a monthly subscription. It renews each month until you or RTEO end it under clause 16 of the Terms. There is no minimum term unless your order sets one.

6.2 Cancelling. You can end Online Enrolments at any time by telling RTEO through the support channels in clause 12.1 of the Terms. It ends at the end of the current billing month, and the monthly fee already paid for that month is not refunded except where the law requires it. Ending Online Enrolments does not by itself close your workspace or end any other product.

6.3 When it ends. When Online Enrolments ends, your forms stop taking enrolments, so remove or replace any links to them on your website. Enrolments already submitted stay in your student management system under your agreement with its provider. Data in your RTEO workspace is dealt with under clause 16.4 of the Terms and Schedule 4 of the DPA.
